Expired Insurance or License
Insurance
Providers generally do not have access to insurance documents until the day it renews (many of them are on autorenewal) so we assume that a provider’s insurance will be updated around that date. For chair and spa appointments, which tend to be booked well in advance, we will often get bids from providers who have active insurance as of the current date but whose insurance will expire before the appointment date.
For these appointments, you can book the provider as normal. That said, IF there are cases where there are other providers bidding whose insurance does not expire before the appointment, it is better to book a provider whose insurance will still be valid, all else being equal (i.e., book the provider whose insurance will expire if the other providers have high cancellation rates OR if the provider bidding hasn’t had an appt in a long time).
Whether an insurance provider’s policy is active on the day of the expiration date differs from insurance policy to insurance policy (for AMTA, it is, for others it is not). It’s ideal to book another therapist in this instance if so.
Licenses
For licenses, most state license web sites are updated in advance, so check the state web sites to see if they have been renewed. You can book therapists whose licenses expire on the date of the appointment.
Because licenses are often updated online in advance, unlike insurance, if a therapist has not renewed and an appt is close to the expiration date, it’s better to book another therapist if possible.
If you check a therapist’s license and it’s renewed online, you can update it in the CMS or send them the shortcut in the CMS called Therapist → Account → Booked but Need to Submit License
