If there are multiple bids on a request, but they are not set up evenly (i.e., there are multiple therapists replying to one request but not on the other), and the genders match up (e.g., the request is for 2 no preference and we have multiple eligible bids, or the request is for 2 females and we have eligible bids from female MTs) book the therapists and prioritize who to book with these factors:
Earlier start time (as long as the therapists we are booking have decently low cancellation rates, < 10 or 15%)
Therapists who haven’t had many appts recently
Therapists with high ratings
When booking a therapist on one of the massages that they did not bid on, the main modality to pay attention to is if one of the requests is prenatal. You can assume all therapists will take Swedish, deep tissue, sports or sleep massage.
You can check the therapists’ baseball cards to see if they are tagged for “prenatal experience,” “prenatal certified” or “does not do prenatal.” Prioritize confirming therapists who have prenatal experience or prenatal certified on prenatal massages, but you can also book therapists who have no relevant prenatal tags. Do not book therapists tagged as “does not do prenatal” on a prenatal massage.
If the request is for one gender and one gender preferred (e.g., 1 female and 1 female preferred), and you have multiple bids you can confidently book therapists for the non-preferred gender (e.g., 1 female and 1 male therapist in this case)
If the request is for 2 different genders (1 female only and 1 male only) and you have bids for 2 therapists of the same gender, you can go to Kustomer and offer that option to the client
If the request has multiple bids but the therapists times are mismatched, send a shortcut through CMS telling the therapists that we have another therapist available for a certain time and asking the therapists to update their reply to be booked
If they do not make updates, you can ask them a question via text via Kustomer
If you have only one bid and the request indicates that the client is open to a b2b. Especially if the bid is for the entire range and starts early in the time range, you can book the therapist on both massages, and simply change the request to a b2b. (If the bid is on the primary request, the system will automatically book it; if it’s only on the additional, you will need to manually book it.)
If there is only one bid and the request does NOT indicate that the client is open to a b2b. You can add incentive to try to get a second therapist, but also ask the client via Kustomer whether they would be open to having one therapist provide back to back appts. When doing this, you should specify what time the therapist would be available and if the therapist is prioritized or the client has rated them with 5 stars.
